Guide

How to plan the music for private events in your venue

Weddings, birthdays and company parties each need their own music. This guide helps event spaces plan the music with the host—before the night and during it.

In short

  • Agree the phases of the event with the host in advance
  • Plan pauses for speeches and special moments
  • Ask for must-play songs and a do-not-play list
  • Decide whether guests may request songs

Plan the music with the host

  1. Get the schedule

Reception, dinner, speeches, first dance, party, end: note the times.

  2. Collect wishes

Ask for must-play songs, genres and anything that should never play.

  3. Mark the moments

Speeches, entrances and toasts: decide who pauses the music and when.

  4. Agree on requests

Should guests request songs? If yes, under which rules?

  5. Check the room

Sound system, microphones for speeches and screens for the evening.

Typical event phases

  • Reception: welcoming, background music
  • Dinner: calm music that supports conversation
  • Speeches: music paused or very low
  • Party: rising energy, requests if agreed
  • End: winding down at the agreed time

Questions and answers

Do we need a DJ for every private event?

No. Many events work well with a prepared music profile. Hosts who want a live performer or personal moderation should still book a DJ.

How do we handle speeches?

Plan them in the schedule and pause the music with one control when the speech starts.

Can guests request songs at a wedding?

If the host agrees, guests can request by QR. Requests outside the agreed rules are not played automatically.
